Position Summary
The Office Assistant plays a critical role in supporting the daily operations of Port of The Dalles. This position performs a wide range of administrative, clerical, and organizational functions that contribute to the efficiency and effectiveness of the Port. The ideal candidate is detail-oriented, responsive, and comfortable working in a dynamic public-facing environment. This role has the potential to grow into additional responsibilities.

Key Responsibilities

  • Provide administrative and clerical support to Port Staff.
  • Coordinate scheduling, maintain calendars, and organize meetings.
  • Draft, proofread, and finalize memos, reports, presentations, and official correspondence.
  • Respond to public inquiries (in person, by phone, and by email) in a professional and timely manner.
  • Assist with preparation and posting of agendas, meeting packets, and minutes in accordance with Oregon Public Meetings Laws (ORS 192).
  • Maintain organized filing systems and support records management per retention schedules for both digital and physical files.
  • Coordinate logistics for Port Commission meetings and community events.
  • Assist with communications and outreach including website updates.
  • Special projects, like modernizing analog digital filing systems.
  • Uphold confidentiality and compliance with public records laws and internal policies.

Minimum Qualifications

  • High school diploma or GED required. Associate or bachelor’s degree in public administration, business, or a related field preferred – or equivalent combination of education and hands-on experience
  • Proven experience in operations, office management, or administrative leadership in a small to mid-size office; experience in a government or public-sector setting is strongly preferred.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with meeting platforms (e.g., Zoom, Microsoft Teams). 
  • Excellent written and verbal communication skills.
  • Excellent organizational skills, attention to detail, and ability to manage multiple tasks with shifting priorities.
  •  Experience working with the public and maintaining a high level of professionalism and customer service.
  • Comfortable working independently

Compensation & Benefits
